E-Mails: Configuring ShopFloorManager to use E-Mails

Configuring ShopFloorManager for E-Mail Use

E-Mails Configuration

ShopFloorManager has fully integrated E-Mail Capabilities into it's various Modules so from within ShopManager itself you are capable of E-Mailing Documents, N/C Files & Whole Packets to Users of ShopFloorManager or to the General E-Mail Population via valid E-Mail Addresses World-Wide! ShopFloorManager has extended the ability to E-Mail directly from CNCs to any valid E-Mail Individual or E-Mail Group. This capability provides for off-shift communications beside the obvious ability to notify a Engineers, Programmers, Supervisors... of occurring Events at anytime.

The following Tech-Note details how to Configure and Use ShopFloorManager E-Mails.

CONFIGURING E-MAIL FOR USE IN ShopFloorManager:

ShopFloorManager supports sending e-mail in two different ways:
  • -from ShopFloorManager Communications Engine by using the Remote Request Command Send CNC E-Mail
  • -from ShopFloorManager User Runtime to E-Mail a copy of a ShopFloorManager document
ShopFloorManager supports two modes of configuring e-mail for use in ShopFloorManager. These modes are:
  • -Remote SMTP Service
  • -Local Pick-up Directory
Remote SMTP Service mode

The Remote SMTP Service mode sends e-mail messages by using a named remote Simple Mail Transfer Protocol (SMTP) service. The named remote SMTP service must be accessible from the computer that runs ShopFloorManager User Runtime or ShopFloorManager Communications Engine. You may need to consult with the appropriate information technology (IT) personnel of your organization to learn:

  • -the name of the remote SMTP service that you should use,
  • -whether the remote SMTP uses the standard port, and if not then which port it uses
  • -whether the remote SMTP service requires authentication to send outgoing messages
  • -the login name and password to use for authentication
  • -whether the remote SMTP service requires using Secure Password Authentication (SPA)
Local Pick-up Directory

The Local Pick-up Directory mode sends e-mail messages by saving them as files in a named local pick-up directory. The e-mail system at your organization must be configured to periodically retrieve e-mail message files from the local pick-up directory and process them in order to forward them to their recipients.

If your e-mail system uses Microsoft IIS as the SMTP service, the local pick-up directory on the IIS server is typically named 'c:Inetpubmailrootpickup'. Your organization may use a different directory. If the local pick-up directory is located on a different computer than the computer that runs ShopFloorManager User Runtime or ShopFloorManager Communications Engine, you must make sure that the local pick-up directory is shared and you must make sure that you configure the Local Pick-up Directory using the UNC version of the directory's name.

ANTI-VIRUS PROTECTION AND REMOTE SMTP SERVICES

ShopFloorManager sends outgoing e-mail messages to remote SMTP services by using either TCP/IP port 25 or an alternative port that you configure. Some malicious software, such as viruses and worms, also send outgoing e-mail messages using TCP/IP port 25. Some STMP services designate an alternate port other that TCP/IP port 25. You will need to consult with your E-Mail service provider regarding which port you should specify.

Many Anti-Virus and Anti-Worm try to stop viruses and worms by blocking TCP/IP port 25. These Anti-Virus and Anti-Work programs usually keep a list of programs that are allowed to use TCP/IP port 25 to send e-mail messages.

If the Remote Request Command Send CNC E-Mail fails to send a message by sending response code 33, or if ShopFloorManager User Runtime fails to e-mail a selected document, and you have an Anti-Virus or Anti-Worm system installed on the computer that runs your ShopFloorManager programs, you may need to add the file names of ShopFloorManager User Runtime and/or ShopFloorManager Communications Helper to the list of programs that are allowed to use TCP/IP port 25 or the alternate port you specify to send outgoing e-mail messages. Consult the documentation for your Anti-Virus or Anti-Worm system to determine whether it blocks TCP/IP port 25 and how to register programs that are allowed to use TCP/IP port 25.

The file names of ShopFloorManager executable components depend on which version of ShopFloorManager you have installed. They are located in the path where you installed ShopFloorManager.

The full path name of ShopFloorManager Communications Helper on this computer is:
C:Program Files (x86)CCI ShopFloorManager 8.0dcomh800.exe

The full path name of ShopFloorManager User Runtime on this computer is:
C:Program Files (x86)CCI ShopFloorManager 8.0ShopFloorMan.exe

E-Mail Attachment Compression Rule

You will need to add the ability to Zip Packets if you want to E-Mail it's contents. If you are only E-Mailing individual N/C Files or Documents you don't need to add Zipping but we highly recommended it's use! See the following for setting up the 7-Zip Application which is a Free Application!

General System Configuration: "DNC Files Tab: Remote Requests Tab"

none

Note: In order to allow CNCs to be able to send E-Mails you will need to check the "Enable CNC E-Mail" Check Box as displayed above and click the Apply Button.

Note: Click on the Workstations... Menu and the following Window will be displayed.

Note: Highlight this Workstation(yours) and then Click on Properties Button and the Following Window will be displayed.

Assuming you have installed the 7-Zip application select this option and use the Browse Button to find the executable. If you have another Zip executable installed you may select that but we suggest using the 7-Zip Option. This Application will need to be installed on each Workstation in order to Zip Files/Documents/Packets!

Note: You can download this free application at: http://www.7-zip.org

E-Mails: Creating Contacts

E-Mail: Contacts...

E-Mail have become ubiquitous in most applications by providing a universal way to send data & messages. ShopFloorManager has an integrated ShopEMail: (html) so you can Automatically and or Manually send Data(DNC Files, Documents & Packets) & Messages via your E-Mail from within ShopFloorManager: (html) including from the "Manage DNC Files' Window", "Manage Documents' Window" & "Manage Packets' Window". ShopFloorManager's E-Mail will automatically create a zipped file(normal zip or self extracting zip) for your Files, Documents & Packets before E-Mailing them to your chosen Distribution List!

You can even send E-Mail from CNCs. These CNC E-Mail can be sent Automatically via CNC Macros or Manually by CNC Users punching-out a pre-configured E-Mail message (DNC File(s) containing E-Mail Commands in comment fields). These CNC E-Mail Messages can include input from CNC Users by modifying the Message Field in the Comment Line(s) before punching-out.

Note: This specific feature can be useful to an CNC operator if they need to notify personnel a problems, events, etc. By using Macros to generate E-Mail messages you can Automatically notify a User or User(s) of Event(s) occurring at a CNC.

Note: Click on the "Contacts..." Icon and the following Window will be displayed.

Note: To Create a new "Contact" click on the "New" Button and follow below!

E-Mail Properties Overview:

In order for ShopFloorManager to be able to E-Mail Data & Messages it needs the following information added to the Form below: Full Name; Organization; Job Title; File As; E-Mail Address; Display!

You can create as many E-Mail Contacts as needed. These Contacts can exist alone or be associated with Distribution List(s)(See below) which can contain one or more of these E-Mail Contacts.

E-Mails: EMailing from a CNC

Creating an E-Mail Program for a CNC

Sending E-Mails from CNCs is no different then uploading a N/C Program from a CNC to the ShopFloorManager. The difference lies in the format of the program being uploaded. This can be a Pre-Canned message or you can edit a "Comment Field" for adding a message(s) as desired! See the following for the different formats:

Note: The above is from a Snippet from an N/C File. Assuming you have active Macro capability the above addition of DPrints would output the E-Mail as the previous example would. The caveat being that you should not stop the file executing inbetween any contiguous DPrints!

An Example Use for the above: if you were required to have "First Piece Inspection" on a Part you could create a message to alert all concerned personnel without relying on any individual to relay this message! When the program is execute personnel will automatically be notified!

E-Mail for Safety Reasons!

You can request help from a specific individual without leaving the CNC such as Quality, Engineering, Programming, etc. If you are on an off-shift and you need help you can E-Mail anybody on the E-Mail Contact list!
